Trainee Self-service (TSS)

Self sign-up email address no longer case sensitive

During the self sign-up process the entered email is verified against the trainee profiles to ensure that it is a valid trainee email address.

That verification was case sensitive, so the casing of the entered address had to exactly match what was entered in TIS.
e.g. If Andrew.Dingley@hee.nhs.uk was my email in TIS and I used andrew.dingley@hee.nhs.uk during self sign-up then my attempt would be rejected with an “Invalid email” error message.

The case sensitivity has now been relaxed, any mismatch in casing will be ignored and the email will still be matched to a profile correctly.

Proactively update the Status of Submitted Recommendations

Previously to get the Recommendation Status to update, we had to open up a Recommendation or wait overnight. When it was updated overnight the “TIS Status” wasn’t updated to reflect it.

We now periodically ask the GMC about all recommendations “Submitted to GMC” and update them with the latest outcome ant status:

The nightly run then is able to see that they are no longer under notice:

Trainee Information System (TIS)

Prevent bulk uploading of duplicate assessments

Changes have been made to bulk uploads to flag duplicate assessments. Duplicate assessments (those with the same trainee, programme and curriculum, review date and outcome as an existing assessment) are now rejected. This should help to prevent accidental re-uploading of sets of assessments.

National Post Number is read-only for Placements exported to ESR

If a placement has already been exported to ESR by the ESR Interface, the National Post Number of the Post associated with it won’t be editable from anywhere on TIS (Placement’s page, Placement Planning Tool, bulk-upload).

Fix an Unknow Server Error problem when bulk upload assessments

When bulk uploaded assessments with none valid grade at next rotation values together with an empty value, an Unknown Server Error was shown on the bulk upload page.

This was because the bulk upload service did not deal with the empty grade at next rotation value properly.

We fixed this bug, and now the UI can report the status of bulk upload assessment correctly under this circumstance.

TIS team development (following external review)

Last Review I highlighted that we recently had an external review of how we work within the TIS team. From that review, a number of recommendations were put forward for how we can alter things going forward. The whole team is actively working towards implementing these recommendations. As we are a team that at its core believes in transparency and openness, we decided to give you a flavour of what we have been working on:

Up to end of Iteration # 4

  • We've created and published a Team charter

  • We're about to hire a User Researcher, and are looking at the team needs in terms of other Digital, Data and Technology (DDaT) professions

  • We're reviewing all our meetings and events with a view to rationalising them in the near future

  • We're embarking on team training in User-Centred Design: Online, 15hrs over 5 days | On-site at one of our offices, 1 day 

  • Progressed work on standardising Job Descriptions / Job Summaries.

  • Some of the team attended the online GDS UCD training.

  • Debating sensible ways of splitting the team’s work up by Services and Products.

  • Started the review of Stakeholder mapping.

  • Started reviewing the Performance Analyst capabilities in the team, with a view to formally ensuring we address them as a team, or we look to recruit to fill the every increasing need to measure success and identify improvement opportunities.

During Iteration #6

  • Almost finalised work on pulling Job Descriptions together for all roles we anticipate we’ll need in the new structure.

  • Completed initial work on adhering to the team Charter - a soft/supportive approach of using regular team healthchecks against the Charter values: Empathy, Unity, Transparency and Collaboration.

  • Had an end of Quarter Review and looked forward to Q4 - draft OKRs to follow, but along the lines of 1. Further self sign-on work on TSS, 2. More work on the migration to Cognito (to reduce the risk of our reliance on an out of support KeyCloak tool) and 3. Embedding Reval recommendations live.
