In summary, an assessment consists of 2 journeys:

1 - Pre ARCP - setting up event (can be completed before/after the assessment has taken place)

2 - Post-ARCP - outcomes, add documentation, comments (is usually completed once the assessment has taken place, and must be updated (outcomes) within a particular time frame)

Process Steps
  1. Select Assessment from UI menu
  2. Select Create a new assessment
  3. Enter relevant field data for new assessment including options to generate Form R
  4. System auto-saves details as they progress
  5. User saves
  6. New assessment event added to summary list page
  7. Assessment event information displayed in Trainee UI

The trigger point for a trainee's assessment will be either the 'next review date' being set in the previous assessment record OR approaching 12 months since the trainee's last assessment event.

  • Rule: Only specified fields can be entered
  • Rule: 9 months from last review, flag trainees names in People list, create assessment to clear

  9. Confirmation of assessment is recorded against Trainee record
  10. New assessment event added to summary list page

People Process:

  1. Download the template from TIS
  2. Populate the spreadsheet with people records
  3. Upload spreadsheet
  4. System validates spreadsheet
  5. System creates new records based on spreadsheet values
  6. System presents a list of newly created records for review/update
  7. Account/Profile of trainees created??
  8. Notifications sent to trainnes with credentials??

  • Rule: spresdsheet can only be completed if completely correct (Joanne Watson (Unlicensed) - please confirm)
  • Error: where data is incomplete i.e. mandatory fields completed incorrectly
  • Error: where mandatory fields not completed

  • Error: Structure of the template expected by the import does not match, i.e. file format/column names/order expected do not match

  • Error: Duplicate rows identified in the spreadsheet

  • Error: Duplicate record of a person already exist on the system.

If Excel upload valid, then validation should be done on those fields (see People Scenarios PP-6)
