The idea stems from a conversation John Thompson and I had surrounding grade and my work to standardize the grade reference table on Intrepid. The point is that particular grades mean different things depending on the curriculum they are attached to. ST3 for Paediatrics means something very different than ST3 for GP or for O&G, etc. This difference could include the Tariff Rate of the post, the pay banding of the trainee, whether the post is higher or lower, the training year in proximity to CCT. Currently this information is stored through the knowledge of the employees of HEE but is not indicated in any way on the database. Using the example of ST3, there is no indication that ST3 has any other meaning in GP to Paeds. The proposal is to take the idea of Curriculum Grade and adapt it to something which becomes informative of the training year as it relates to the curriculum. This would be done by creating a Curriculum Grade Type to which training grade would be assigned. For instance Paediatrics would include Paediatrics Curriculum - Lower Training - ST1, ST2, ST3; Higher Training - ST4, ST5, ST6, ST7,ST8. Hopefully I made that clear. John or Alice Brindle would probably be able to help in explaining this.

currently have an issue with ACCS Anaesthetics CT3 trainees who, according to the curriculum, should be paid at CT2 level as their responsibilities at CT3 are only the same as CT2 in EM or AM.  We were initially asked to record them as CT2b but as this is not a grade we have so we made a decision that they should be recorded as CT3.  This has meant that Trusts are increasing their pay banding and NHS Employers have challenged this.  If we could record the information via the curriculum this would help but we would still need a good comms strategy to our Trusts to help them understand how the system works so they can ascertain which salary the trainees should.  I am also wary of over complicating things so it would need to be quite simple.

On a related note, can the CCT date find the right day of the week rather than just the same day of the month? We asked for this in V10 but I guess they must have given up (may be one of those things that's easy for us and hard for a computer)

Yes, from a user perspective it should be Programme Name, Programme Number, Local Team and then Status.

So change to ordering of columns is required as above.

Default to 'current' on creation but yes have the option to change a status to delete because sometimes entities can be created in error so we should be able to remove them from the system

During the initial meeting for Programmes and Curricula we discussed how it would be very useful for curricula to be able to span local programmes. We mentioned it with IDTs. A trainee would IDT to a different region but their curriculum could stay the same.
I have recently encountered another example where this would be extremely useful. Core Academic Trainees do two years of their academic curriculum in Core and then the last year in their Higher Programme. Currently we have to split this curriculum in two to fall over the two programmes. The academic return we need to do requires us to give the start date and end date of their curriculum. Having one Academic Curriculum spanning parts of their Core and Higher Programmes would make reporting on this far easier and would also be far more accurate as it is in reality just one curriculum.
Is this functionality likely to be in TIS?

When adding programme membership to a trainee (under People), I came across the following:

  • There are no initial drop-downs. Instead there is predictive typing – which is less user-friendly and not good for dyslexics.
  • The predictive typing brings up a list of programmes, but these appear in random order and not in alphabetical order – not only is this not user-friendly it also makes the process of finding the correct programme more time-consuming.
  • Moreover, programmes like Anaesthetics appear several times spelled exactly the same, but depending on which one you click you have a different local office (eg: North East or East of England, etc).
  • When adding curriculum there is no longer predictive typing and it appears impossible to work out how to add the curriculum. It appears there is a very limited area one can click to bring up a list of curricula. This nearly made me give up – I thought the system was broken.
  • Also it is impossible to bring up Curriculum without having brought up Programme first, but it does not tell you this – again I thought the system was broken.
  • When a choice of curricula is finally brought up, it is again not alphabetised, but listed in random order – very unhelpful and will make the whole process more time-consuming.

On Intrepid at the moment programme creation, editing programmes and assigning curricula in LASE is only available to a view people due to security settings. Will this be something that is avaliable to all in TIS or is it planned that only those we select will have access to this?
As discussed we want to keep TIS as open as we can to all administrators because we are one organisation and trainees do often move between local offices. But we do have the ability to control permissions in a granular way if desired and where requested can setup security to enable this level of control (AP 20/12/17)

Feedback from a user that they feel that you cant tell whether it saves when you make a change in the system. They have asked if the system could alert you in some way to let you know that the change has been saved. This was raised specifically around creating programmes

On the curricula reference table I have noticed that the system shows the error message "Name should not contain invalid characters" when the curricula name has brackets in it but our national curricula list does have curricula with brackets in it. Can this error message be removed?

My understanding is that Public Health is a Pan-London programme and should be listed as such. Currently it is split by region, can it be combined? Also, not all programmes are pulling through although you may already know this (sorry if so)

With Intrepid 10, once a Programme Membership is created it is not possible to change the programme later on. I can see why this is the case to avoid mismatching programmes, curricula and NTNs. There moments though when this is a nuisance. Good example is with GP. Sometime ago, a trainee was due to start a GP programme but then decided to move into another programme. Start and end dates, NTN, curricula, etc. all the same. The only thing that changed was the programme name and number. The only way to correct this on v10 is to delete the old PM and create a new PM. Any chance on TIS there might be a super user function that allows a select few to change the programme in a PM (if no placements, assessments, etc. have been added)?
I understand the issue but i suppose it only really affects trainees who want to move from 1 GP Programme to another as otherwise all other details would change? I can propose this to the developers but i suspect there may be some back end complications that mean deleting the original Programme is necessary (AP 5/1/18)

Create new curricula - Can create a new Curriculum ok. Can’t see how to delete a Curriculum. Specialties are not in alphabetical order in the drop down list making it difficult to find the required one.

It does not state that period of grace should be recorded in months.

There is no view to see programme membership, curriculum membership, placements within the programme membership, and assessments for the programme at the same time. The NTN is not pulling through from Intrepid. The field is blank when it should be populated. It is not possible to change the programme start date field by typing in the box. It is only possible to change the date using the calendar which is cumbersome.

Create new curricula

1.      When choosing ‘sub-type’, options in drop-down are not only not alphabetised, but they also don’t appear to make sense. Eg: Medical Curriculum and Medical SpR – there is arguably overlap here. Clarity and consistency in usage is needed. The same applies to Dental (Dental SpR and Dental Curriculum) There is also Dental-post-CCST. Same again for Academic where you have ACL (NIHR) ACL (Other) and ACL, same for ACF.Again the categorisation here appears not thought through.

1.      Also what about specialties like Public Health where not all trainees are medical – is the curriculum a ‘medical curriculum’ or is it something else?

2.      For the ‘Assessment Type’ field there are only 3 options: ARCP, RITA and Academic. However, Dental Core has RCPs and Dental Foundation has FRCPs. Also, should interim reviews be included here? For dental these are known as IRCPs for DFT and DCT.

3.      ‘Status’ field has 2 options only: Current/ Inactive. Intrepid has a 3rd field: ‘Delete’ – should this be included here?

4.      Period of Grace – allows a negative number with warning text– why negative? Remove this possibility? No limit on months allowed as PoG – should there be warning text pop up after 6 months – querying decision?

5.      ‘Specialty’ field. Again the drop-down options here are non-alphabetised. In addition, there is no consistency in terminology. Dental Core Training exists as does Dental Core Training 1, Dental Core Training 2. Dental Core Training 3 is missing. To ensure consistency and avoid  inconsistency Dental Core Training should be removed as an option. Several other examples exist. There are 3 Oral Medicine, Oral Medicine (Old) and Oral Medicine (Additional Dental Specialties). Also inconsistent usage of ‘and’ and ‘&’ – this means that even if alphabetised, there will be difficulty locating correct programme.

Some sub-specialty names do not appear (Neuro rehabilitation Medicine). Suggest all specialty names are wiped and drop downs are taken from a national GMC list.

6.      The Create Curricula sub-type interface allows 3 options: Edit, Delete, View. This is not available via the Curriculum interface. This would be helpful.

Create/Edit Curricula SubType

  1. Could not create a new curriculum sub-type. When trying to do so there was a pop-up window with a blank Code and Label fields. These presumably needed to be completed, but there was no text explaining how to do this. The fields had no predictive text and no drop down. The system would not accept the attempts I made at entering a code.

Could not edit the curricula sub-type. When I did so and pressed Save there was no indication my changes had been saved. When I closed down the pop-up window, the data had not changed in line with the edit I had attempted to make.

Create/Edit Curricula Specialty

  1. Not sure what is asked here in the part about creating a curricula specialty? (Does it fall under ‘New Curricula’ section above – if so see feedback provided.)

Editing of Curricula Specialty works (although again not sure if I have correctly understood what is asked for this section) but it is difficult to verify after. Should be highlighted in a colour when the system returns to the original screen listing all specialties.

Search Curricula

Initially, tried to use the ‘Search box’ with very poor results. It did not find anything on the following searches: Intensive Care, ICM, Oral. But it did not tell me that it had failed to find anything. Basically nothing happened. Then I searched for a few obvious ones that I saw listed such as ACCS, then back to searching for my original examples. At this point I got a message saying ‘We could not find any results. Please clear your search criteria or try to remove some filters in order to reset results. I then tried again and did get results. And then after a while I again did not get results. No result on Occupational and no message telling me it had failed to get results. Searched on Health and did get results. After this did get results on Occupational. Very hit and miss.
