Background

Discussion took place on establishing how we manage immigration statuses within TIS.

Oriel use Immigration statuses as reference data and the list may change year on year for use on different application forms versions. They have 2 different lists for 2018 and 2017 both currently in use depending on intake.

Intrepid does not seem to manage immigration statuses as reference data, although there is a dropdown to pick from a finite list within a person record.

What we should be doing for TIS?

Partner statuses are not populated in the Oriel Import, examples are below. Need confirmation from Hicom/Clare Kennedy if these are going to be populated at all and with what?

There is an additional question on the 2018 form for Partner status depending on the Personal status selected - "Is this your own visa or are you a dependent?" - This does not appear to be returned in the Oriel XML. The values for this question are as below. How is this information being populated in the Oriel extract? I believe this would be required in order to determine the mapping to TIS for partner statuses.

Values are:

  • Yes, this is my own visa
  • I am a dependant

One for Clare Kennedy/Hicom.

Recommendation from Data Leads is to use Oriel reference data for Permit To work and record the new questions for 2018 application form as new questions on TIS.

However, the new questions do not currently come through in the Oriel extract. Is this something that is going to be addressed by Oriel?

We need a way of managing any changes to the Oriel workforce extract reference data for future application form changes, so that TIS is made aware.

Suggestion is:

For HEE Oriel Project Manager (Clare Kennedy) to notify data quality team, as all the changes to taxonomy are version controlled and take place in an organised way already for Oriel. The changes are discussed at an alignment group meeting and agreed/signed off to be done as part of a future release. One for Clare Kennedy and Data Leads to manage.

How is the ‘blue card  evidence of right to work’ information as an immigration status being recorded on Oriel and how is this info sent in the Oriel extract? - One for Clare Kennedy/Hicom. This is another question that does not currently come through the Oriel Extract and need to be taken to Clare Kennedy as to whether is is an issue Oriel is going to address?
 5Not all of the personal immigration statuses have been mapped by data managers for 2017. This could explain the large number of trainees in the DR without a 'Permit to Work' value. Please refer to 'Permit to work' worksheet and complete the mapping for 2017 reference list of 'Permit To Work'. One for Data leads (Clare Lehoux, Alice Brindle, James Harris). Recommendation from Data Leads is wherever possible we will adopt Oriel ref tables to avoid having differences and having to map the data. Ashley to check impact on ESR interface to determine which tables we can do this for.

Some questions have been removed from 2018 forms with regards to 'Permit to work' and an amended list of immigration statuses being used. The new Questions and the new list of 'Permit to Work' statuses need to be mapped. One for Data leads (Clare Lehoux, Alice Brindle, James Harris)

  • Evidence of Entitlement
  • Non EEA National Partner Treaty Right
  • Partner Or Spouse Of UK Citizen
  • Are You On A Dependents Visa

Question added:

  • Blue card evidence of right to work
  • Is this your own visa or are you a dependent?
